1. Introduction / What is the QR Code Scanning App (PWA)?

1. What is the QR Code Scanning App (PWA)?

This feature is available only to exhibitors who have applied for the QR Code Scanning App (PWA).

We provide an app for scanning the QR code displayed on admission passes. Instead of exchanging business cards with visitors, you can scan their registration information with a smartphone or tablet, enabling smoother collection of visitor data.

* Hereafter, this feature is referred to as the "PWA". PWA stands for "Progressive Web Apps," a mechanism/technology that allows websites to be used like apps.

[Important] An internet connection is required
This feature scans the QR code on the admission pass using a smartphone with internet access and saves the scanned information to a CSV file. It cannot be used on devices without an internet connection.
* For internet connectivity, we recommend using a mobile data connection provided by your mobile carrier. Wi-Fi connections are not recommended as they may be unstable.
Scan totals The top of the screen shows total scans and unique visitors, so you can check them without downloading the CSV.
QR code send history Shows the latest 500 sent records, shared across all devices on the same account. Visitor and company names are shown.
Answering or editing a survey afterwards If you cannot answer during the scan, you can answer or correct it later.
Scanning offline You can keep scanning where reception is poor and send the data once the connection recovers. Sending is not automatic. You need to send the data yourself.
Choosing the output format Booth Visitor Logs can be downloaded as per visitor (repeat scans combined into one row) or per scan (one row per scan). Either format can be downloaded as often as you need.
Validity period of the login QR code The login QR code on the Exhibitor Only Site now shows an expiry date, so you can print it in advance and hand it to your on-site staff.

* Do not confuse it with the "PWA Installation QR Code" in STEP 1.

[Important] About the login QR code
  • For security reasons, it has an expiry date. For CEATEC 2026 it can be used until 18:00 on Friday, 16 October 2026 (the expiry is also shown on screen).
  • The same QR code works until then, so you may print it in advance and hand it to your on-site staff. Please avoid leaving it on display where third parties can see it. See "12. Precautions" for details.
* A device that has logged in stays logged in for 168 hours, but the session may have expired by the time you use it at the venue. Please make sure you have an environment where you can log in to the Exhibitor Only Site so you can log in again at the venue.

If a dialog asking for camera permission appears, please allow it. When the scan succeeds, the TOP screen is displayed.

5. Logging In

Using multiple licences (multiple devices)

The number of licences is the number of devices that can be logged in at the same time. With 3 licences, up to 3 devices can be used simultaneously.
There is only one login QR code per exhibitor. QR codes are not issued per device. Scan this same QR code on every device you use to log in.

The example below shows the same visitor being scanned on two devices.

Result:
  • "Per visitor" CSV: one row (the identification name column contains the devices separated by commas — "Reception A,Reception B").
  • "Cumulative" CSV: two rows, one for Reception A and one for Reception B.
In both formats the survey answer is the one sent last, from Reception B (Q1 and Q2 as entered at Reception A, Q3 at Reception B). (For the difference between the two formats and the output items, see "11. Downloading Logs (CSV)".)
5. Logging In

How the system behaves with more than one device

Survey
Shared across all devices. Both the questions and the answers are stored per exhibitor, not per device. Even if you answer on another device, questions you do not touch keep their previous answers.
Scan records
Kept per device. "Which device scanned, and when" is recorded as the identification name and the scan date/time.
CSV
Two formats are available. "Per visitor" and "Cumulative" can both be downloaded (see "11. Downloading Logs (CSV)").

The identification name is how you tell the devices apart later

The identification name you enter at login appears as-is on the Exhibitor Only Site and in the CSV. It is the only way to tell which device performed a scan.

Entering the identification name
① Entered at login
(e.g. Reception A)
→
Login Device Info
② Listed per device under "Login Device Info" on the Exhibitor Only Site
[Important] Always log out when staff change over
If your staff use their own devices, the second day's operator cannot log in while the first day's operator is still logged in — the licence limit is exceeded. Ask the previous operator to log out from "Other".
If they forget and cannot be reached, you can release the seat with "Force logout" under "Login Device Info" on the Exhibitor Only Site (screen ② above).

※ Data is not delivered to the Exhibitor Only Site just by scanning. You must send it. Until then it exists only on that device.

※ The current number of logged-in devices is also shown on the "QR code system QR code for login" page of the Exhibitor Only Site.

※ When installing on several devices at the venue, the login QR code can be enlarged (see "12. Precautions").

※ On the TOP screen, "Total" is the figure for the whole exhibitor and "This device" counts only the device you are logged in on.

Answering or editing a survey afterwardsNEW

If you could not answer the survey at the moment of scanning, you can open the history later and answer or edit it. This lets you add your impressions of the visitor, or how promising the lead is, once you have finished serving them.

From the scan history
You can answer or edit entries that have not been sent yet, or entries whose scan has been sent but whose survey has not.
From the send history
Once both the scan and the survey have been sent, you can no longer edit from the scan history. Open the send history to edit.

Only scans that satisfy both conditions — scanned with the PWA and successfully sent after scanning — are shown in the send history.
For use where reception is poor, see "8. Using the App When the Connection Is Unstable".

7. Answering the Visitor Survey

7. Answering the Visitor Survey

For the whole picture with two devices, see the diagram in "5. Logging In / Using multiple licences (multiple devices)". What is recorded is always the last set you sent, regardless of the CSV variant (per visitor / per scan).

[Important] Please note
* If the "Survey Settings" is set to private, the survey function cannot be used. (Whether "Online Basic Information" is public or private has no effect on the survey.)
* You can also answer the survey with no connection. Responses are saved on the device and sent together with the scanned data (see "8. Using the App When the Connection Is Unstable").
* With no connection, however, previous responses are not loaded and the fields appear blank. If you send from that state, the previous responses are not kept. To check the previous responses before changing them, edit the survey after the connection recovers.
※ Even when you use multiple licences (multiple devices), there is only one set of responses per visitor. Responses cannot be kept separately per device.
8. Using the App When the Connection Is Unstable

8. Using the App When the Connection Is UnstableNEW

The PWA is designed to be used online. However, reception at the venue can be unstable, so the app lets you keep scanning even while there is no connection. Scanned data is held on the device and sent once the connection returns.

How you can tell the connection is down

When there is no connection, "● Offline" appears in the upper right of the screen. It disappears automatically once the connection returns. It is shown on every screen, not only on specific ones.

Offline indicator
"● Offline" in the upper right

Offline scan result:
barcode ID and status only

What you can and cannot do offline

You can
· Scan QR codes (they accumulate on the device)
· View "Scan History"
· Answer the visitor survey (saved on the device and sent together with the scan) *Previous responses are not shown
· Use data management under "Other" (such as clearing sent data)
You cannot
· Send scanned data
· See the visitor's name, company and other details
(offline, only the barcode ID and a status message are shown)
· Open "Send History", or edit a survey from the send history
· Log in or log out

* Logging in requires a connection. Be sure to log in somewhere with good reception before entering the venue.

8. Using the App When the Connection Is Unstable

Sending once the connection returns

[Important] Data is not sent automatically
Accumulated data is not sent automatically when the connection returns. You must perform the send operation yourself. If you do not, the scans will never appear on the Exhibitor Only Site.

You can send from either of the following.

①
From the QR scanning screen
Tap "Send scanned data". The number of unsent items is also shown on this screen.
②
From the scan history
Open "Scan History" in the bottom menu and tap "Send". You can review the IDs scanned on this device while sending.

* Once sent, the data appears in "Send History" (a connection is required to display it).

Scan history with unsent entries
Unsent data stays in "Scan History"
with the status "unsent", shown in red

How much the device can hold

There is a limit to how much scanned data the device can hold. Once the limit is reached you cannot scan any more, so please send regularly.

* The limit depends on the app settings. You can check the totals (total / sent / unsent) under data management in "Other".

QR codes that cannot be read

If you scan a code that is not an admission pass, it is treated as an error on the spot, even with no connection. Codes scanned by mistake can be removed later with "Delete invalid barcode IDs only".

8. Using the App When the Connection Is Unstable

Managing the data held on the device

"Other" in the bottom menu contains "Data management", where you can check the totals and perform the following.

Data management
Data management under "Other"
Export
scanned data
Writes the scanned data held on the device out to a file.
Import
scanned data
Loads a previously exported file. Importing erases the scanned data currently held on the device.
Clear
sent data
Removes only the data that has finished sending. Unsent data is kept.
Clear invalid
barcode IDs
Removes data that was judged invalid when sending and is excluded from retries.
[Important] "Force logout" is a last resort
"Force logout", below data management, erases all scanned data on this device — sent and unsent alike — and then logs out. This cannot be undone, and unsent data is never sent to the server.
Use the normal "Log out" unless you have no alternative.

If you stay offline for a long time

If there is no connection for an extended period, you are logged out as a safety measure and will need to log in again. Move somewhere with good reception and log in once more.

* Unsent scanned data remains on the device after you log in again. Send it once you are back online.

10. Creating a Free-Text (Notes) Field

10. Creating a Free-Text Field (also usable for notes after serving visitors)

The survey function can also be used by booth staff to record notes and supplementary information about visitors after scanning their admission passes with the PWA. You can add a "notes field (free-text field)" to the survey items.

By adding a "staff entry field (notes about the visitor, etc.)", you can create a space to record the visitor's impressions, requests, conversation details, and so on.

11. Downloading Logs (CSV)

11. Downloading Logs (CSV)

Booth Visitor Logs CSV data

When an admission pass QR code is scanned & sent at your booth, it is recorded as a CSV log. Generate it with the request button on the "Download Visit Logs" page.

Booth Visitor Logs CSV download

Choosing the output format (per visitor / per scan)NEW

"Booth Visitor Logs" comes in two variants, "per visitor" and "per scan", and you can download both. They differ only in how repeat scans are split into rows.

Booth Visitor Logs
(per visitor)
One row per visitor. Repeat scans stay on that one row, with the scan times and device names listed comma-separated in a single cell (oldest first).
Booth Visitor Logs
(per scan)
One row per scan. Three scans of the same visitor produce three rows, each with its own scan time and device name.
[Important] Per-language logging
Data scanned with the Japanese version and data scanned with the English version are recorded as separate records.

<Booth Visitor Logs CSV data contents>
* Columns are identical for both.

* Item specifications are subject to change due to ongoing development.

11. Downloading Logs (CSV)

The identification name tells you which device performed the scan

The "identification name" in the CSV is the name registered on each device at login. When you use multiple licences (multiple devices), this column is the only way to tell which device scanned the visitor.

Entering the identification name
① Entered at login
(see "5. Logging In")
→
Identification name in the per-visitor CSV
② Output as-is in the "identification name" column of the CSV
Identification name in the cumulative CSV
In the cumulative format there is one row per scan, each with its own identification name

※ If you give the same identification name to several devices, they cannot be told apart in the CSV. Use a different name for each device (e.g. Reception A, Reception B).

12. Precautions

12. Other Precautions

1
Downloading the CSV of scan results
The scan (send) results from the app can be downloaded as a CSV from the visitor data download screen (see "11. Downloading Logs (CSV)").
2
Login validity period
After login, the PWA stays logged in for 7 days (168 hours). However, the login information may be cleared by OS updates and similar events; in that case, log in again. If you log in in advance, take the 7-day validity period into account so the session does not expire during the exhibition.
* You are also logged out as a safety measure if there is no connection for an extended period. See "8. Using the App When the Connection Is Unstable" for details.
* From a security standpoint, be sure to log out after the exhibition ends. To log out, tap "Others" at the bottom of the screen and the logout button will appear.
3
Validity period of the login QR codeNEW
The login QR code shown on the Exhibitor Only Site has an expiry date and can be used until 18:00 on Friday, 16 October 2026. The same QR code works until then, so you can print it in advance and hand it to your on-site staff.
* The expiry is also shown on the login QR code screen.
4
Enlarged display of the login QR code
When installing the PWA on multiple devices at the venue, there is a feature to display the login QR code in a larger size. Click "Display Shared URL" at the top right of the screen to open the enlarged view. It is convenient to display this on a PC at the venue for others to log in.

* The QR code in this image is blurred.
URL in the address bar
The URL can be shared and displayed on another device

While it is within the validity period, the enlarged view can be displayed on another device by sharing the URL in the address bar. However, leaving a tablet or similar device displaying this QR code unattended at the venue greatly increases security risks — never do this under any circumstances.

5
Purchased licenses and the number of usable devices
Each license purchased allows use on one device.
6
Camera feed not displaying within the app
On some iOS versions (16.6), we have confirmed an issue where the camera feed does not display within the app. This is believed to be caused by iOS memory handling and is resolved by restarting the device.
13. FAQ

13. Frequently Asked Questions (FAQ)

QDoes the QR Code Scanning App (PWA) usage fee include the cost of the device used?
The PWA is a rental of the app only; smartphones (tablets) must be provided by each company. Smartphone rentals are available for a fee.
QDo the smartphones (tablets) we provide need to be connected to the internet?
This feature uses an internet-capable smartphone to scan the QR code on the admission pass and save the scan results to a CSV file. It cannot be used on devices without an internet connection.
* We recommend using a mobile data connection (Wi-Fi is not recommended).
QCan one license be used on multiple devices?
Each license purchased allows use on one device. If you wish to use the app on multiple devices, please apply for the number of licenses you need.
QIf we purchase multiple licenses, can the delivered CSV data be separated per license?
Even if multiple licenses are purchased, the delivered CSV data will be one file per company.
QCan the survey be customized?
Yes. If you set up the visitor survey on the Exhibitor Only Site, it can be answered from the app. Enter and configure the necessary questions on the survey setting screen. Up to 10 questions can be added (see "9. Setting Up the Visitor Survey").
* When using the PWA in English, be sure to also set up English questions and choices.
QWhat happens to the log if the same admission pass QR code is scanned multiple times?
In the "per visitor" CSV the visitor occupies one row; in the "cumulative" CSV there is one row per scan (both can be downloaded). There is one set of survey responses per visitor, and scanning the visitor again opens the survey pre-filled (questions you do not touch stay as they are — see the diagram in "5. Logging In"). See "11. Downloading Logs (CSV)" for details.
QIs it possible to leave notes about visitors?
Yes — add a free-text (notes) field to the survey. See "10. Creating a Free-Text (Notes) Field" for details.

* The specifications and design are subject to change due to future improvements.
